RealAnalytica, Inc. ("RealAnalytica," "we," "our," or "us") values your privacy and is committed to protecting your personal information.
This Privacy Policy explains how we collect, use, store, and protect data when you use our website, platform, and services (collectively, the "Services").
By using the Services, you agree to the terms of this Privacy Policy.
1. Information We Collect
We collect information in the following ways:
a. Information You Provide
- Account registration details such as name, email, phone number, and password.
- Professional details such as brokerage name, license number, and region.
- Payment and billing information when purchasing subscriptions.
- Communications or support requests sent to us.
- If you use the business phone add-on: the business details you give for carrier registration (legal name, Employer Identification Number, address and an authorized representative), and the calls and texts made with your number, including phone numbers, message content, call times and lengths, voicemails, and, when recording is on, call recordings with their transcripts and summaries.
b. Automatically Collected Information
- Device, browser, and log data (IP address, operating system, referral URLs, session duration).
- Usage metrics (features accessed, pages viewed, timestamps).
- Cookies or similar technologies for authentication and analytics.
c. Third-Party and MLS Data
- Property, listing, and market data from MLS feeds, public records, and approved third-party data sources.
- Integration data from connected accounts (e.g., email, CRM, or analytics systems) only with your explicit authorization.
- Contact-enrichment and skip-trace data (owner names, phone numbers, email addresses, public-records compliance metadata) sourced from third-party data providers when you use prospecting features. Your obligations and warranties for the use of such data are set forth in our Terms of Service, Section 14.
2. How We Use Your Information
We use collected information to:
- Operate and improve our platform and AI features.
- Authenticate users and manage accounts.
- Provide personalized insights and predictive analytics.
- Process payments and send transactional emails.
- Respond to customer inquiries and provide technical support.
- Comply with legal, regulatory, and MLS data-usage requirements.
- Conduct anonymized research and train our own models to improve the product. These models are trained on public records, such as tax, property, mortgage and deed data, never on MLS data, and AI model providers do not train on your data.
3. Legal Bases for Processing (for EEA/UK Users)
If you are in the European Economic Area or the United Kingdom, we process your data based on:
- Performance of a contract (providing our Services).
- Compliance with legal obligations.
- Legitimate interests in improving and securing our platform.
- Your consent, when applicable.
4. Data Sharing and Disclosure
We do not sell your personal information.
We share data only as necessary to provide and secure the Services:
- Service Providers: Cloud hosting, analytics, billing, and customer-support vendors under strict confidentiality agreements.
- AI Model Providers: Atlas and our other AI features send the content needed for each request, such as your instructions, the records you ask about, and related property and market data, to AI model providers that process it and return results. They process this data on our behalf and only to provide the Services.
- Telephone and AI Providers: Our telephone provider carries the calls and texts on business phone numbers and passes business registrations to US mobile carriers. Automated transcription and AI tools turn call recordings and voicemails into transcripts and summaries. These providers use the data only to deliver these services.
- MLS Providers and Integrations: Only as required for authorized data access and display.
- Legal or Regulatory Requests: When required by law, subpoena, or court order.
- Business Transfers: In the event of a merger, acquisition, or sale of assets, where privacy commitments will remain in effect.
5. Cookies and Tracking
We use cookies and similar technologies to maintain login sessions, analyze usage patterns, and improve functionality.
You may disable cookies in your browser settings, though some features may not function properly.
6. Data Retention
We retain personal data for as long as necessary to:
- Provide the Services and maintain business operations.
- Meet legal, contractual, and regulatory obligations.
- Support audit and compliance (e.g., SOC 2 documentation).
When data is no longer needed, it is securely deleted or anonymized.
Call recordings, voicemails and their transcripts stay with your account until you ask us to delete them or you close your account.
7. Data Security
We implement technical and organizational controls aligned with SOC 2 Type II and industry best practices, including:
- Encryption in transit (TLS 1.2+) and at rest (AES-256).
- Multi-factor authentication for internal systems.
- Access control and least-privilege policies.
- Continuous monitoring and annual penetration testing.
- Documented incident-response and breach-notification procedures.
8. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access, correct, or delete your personal data.
- Object to or restrict certain processing.
- Withdraw consent where applicable.
- Request a copy of your data in portable format.

9. Data Transfers
We store and process data primarily in the United States.
If data is transferred internationally, we ensure appropriate safeguards such as Standard Contractual Clauses or equivalent mechanisms.

Our Services are not intended for individuals under 18.
We do not knowingly collect personal information from minors.
11. Changes to This Policy
We may update this Privacy Policy periodically.
When we make material changes, we will notify users by email or through the platform and update the "Last Updated" date above.
12. Text Messaging (SMS) and Mobile Information
This section explains how we handle mobile phone numbers and consent to receive text messages. It applies to messages sent by RealAnalytica and to messages sent by real estate professionals who use the Services to communicate with their own clients and leads.
a. How We Obtain Consent
We send text messages only to people who have given prior express consent. Consent is collected in the following ways:
- By checking a separate, unchecked consent box on a RealAnalytica web form, such as our contact form.
- By submitting a property inquiry, open-house sign-in, or lead form hosted by a real estate professional who uses the Services, where the SMS disclosure is presented at the point of submission.
- By starting a text conversation with us or with an agent, or by replying START to a message.
Consent is never a condition of purchase. We record the consent source and the date and time it was given.
b. How Mobile Information Is Shared
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
c. Opting Out
- Reply STOP to any message to stop receiving texts. We will send one confirmation and no further messages.
- Reply HELP for assistance, or email support@realanalytica.com.
- Message frequency varies. Message and data rates may apply.
Opt-out requests are recorded against the contact record so that no further automated messages are sent. See our Terms of Service, Section 15 for the full messaging terms.
